Missed Call Text Back: How It Works, Templates and Setup

Someone calls your business, you’re with a client, and the phone rings out. Most callers won’t leave a voicemail. Many will simply call the next name on Google. That one missed call can be a lost job.

Missed call text back fixes this. When a call goes unanswered, your phone system automatically sends the caller a short text, usually within seconds, saying you saw the call and asking how you can help. The caller can reply by text, and you pick up the conversation when you’re free. You need a business phone or calling app that supports it, one well-written message, and a person who owns the replies.

At a glance

  • Time to set up: under an hour with most business phone apps
  • Cost: usually part of a paid business phone or CRM plan, plus per-text fees on some
  • Difficulty: easy
  • You’ll get: 12 copy-paste templates, a setup checklist and the rules to stay on the right side of carriers

How does missed call text back work?

It works on a simple trigger: an inbound call ends without being answered, and the system sends a pre-written SMS to the number that called. Everything after that is a normal text conversation.

  1. Customer calls and nobody answers
  2. System detects the missed call
  3. Automatic text goes to the caller within seconds
  4. Caller replies with what they need
  5. You or your team reply and book the job or call back

Better tools let you change the message based on business hours (one text during the day, another at night), on which number was called, or on whether the caller left a voicemail. Some also log the text and the replies in your CRM so nothing gets lost.

Worth knowing: your personal iPhone can do a manual version. When a call comes in, swipe down on the banner, tap Message and pick a reply. You can edit the default replies in Settings > Phone > Respond with Text (Apple’s guide). It isn’t automatic, though, so it only helps when you see the call.

Missed call text back templates you can copy

Good missed call texts do four things: say who you are, acknowledge the call, ask one easy question, and say when a human will reply. Keep them under about 300 characters so they arrive as one message. Swap the [brackets] for your details.

What makes a missed call text work, and what breaks it

Works Breaks Why
Business name in the first line “Hey! Sorry we missed u” An unknown number with no name looks like spam
One simple question Three questions and a form link One easy reply gets more replies
A real reply time “We’ll be in touch soon” A specific promise builds trust, if you keep it
Plain help with their call A discount or promo Turns a service reply into marketing, with stricter rules
A human owns the replies Texts land in an inbox nobody checks An unanswered reply is worse than no text

How to set up missed call text back

The exact buttons depend on your phone system, but the steps are the same everywhere.

  1. Check what you already pay for. Many business phone apps, CRMs and booking tools include missed call text back. Look in the call or automation settings before buying anything new.
  2. Register your number for business texting if you’re in the US. Texting from a standard US 10-digit business number through software requires A2P 10DLC registration, as Twilio’s documentation explains. Your provider usually walks you through it. Expect it to take some days, so start early.
  3. Write two messages: one for open hours, one for closed hours. Use the templates above.
  4. Set your business hours in the tool so the right message goes out.
  5. Decide who answers replies, and who covers when they’re off. Turn on notifications for that person.
  6. Test it. Call your business line from another phone, let it ring out, and check the text arrives, reads well and shows your business name.
  7. Check weekly for the first month. Read the replies. If people keep asking the same thing, change the message to answer it.

Shortcut: if the caller already replied with what they need, answer that first. Don’t call them back asking them to repeat it.

Generally yes, when it’s a direct reply to someone who just called you and it sticks to helping with that call. The trouble starts when the text turns into marketing, or when you keep texting people who asked you to stop.

In the US, the FCC’s rule on revoking consent took effect on 11 April 2025. According to this summary in the National Law Review, words like stop, quit, revoke, opt out, cancel, unsubscribe and end must be treated as opt-out requests, and businesses must honour them within 10 business days. You may send one short confirmation text with no promotion in it.

Watch out: rules differ by country, and this isn’t legal advice. If you’re outside the US, check your telecoms or data regulator’s guidance on business texting before adding anything beyond a plain reply.

What most guides leave out

The text is the easy part. The reply is the job. Most articles about missed call text back are written by software companies, so they focus on the automation. But a caller who replies to your text and then hears nothing for six hours has had a worse experience than one who just got your voicemail. Before you switch it on, decide who answers, how fast, and what happens on their day off.

Three other things rarely get mentioned:

  • Not every missed call is a lead. Suppliers, spam calls and existing customers will get the text too. Write it so it makes sense to all of them.
  • Your phone number has to be able to text. Some landlines and older numbers can’t send SMS at all. Check before you build your process around it.
  • Don’t stack automations. If your booking tool, your CRM and your phone app all send a missed call text, the caller gets three. Turn it on in one place only.

Missed call text back also pairs nicely with review requests once the job is done. Our guide on how to ask for Google reviews has templates for that step.

Frequently asked questions

What is missed call text back?

It’s a feature in business phone systems that automatically texts anyone whose call you didn’t answer. The text tells them you saw the call and invites them to reply, so the conversation continues even while you’re busy.

Can I do missed call text back on my personal phone?

Only manually. On iPhone you can decline a call and send a ready-made reply, but nothing sends automatically when you miss a call. For a fully automatic version you need a business phone app or service that supports it.

How fast should the text go out?

Within a minute or so of the missed call, while the caller is still looking at their phone. Most tools send it within seconds, which is the point of automating it.

Should the text include a booking link?

It can, if most of your calls are bookings. Keep it to one link and still ask a question, because some callers just want a quick answer before they book.

Is missed call text back the same as an auto-reply on WhatsApp?

No. Missed call text back is triggered by a phone call and sent by SMS. A WhatsApp away message is triggered by a WhatsApp message. Many businesses use both, and you can point the SMS towards WhatsApp if that’s where you prefer to chat.
