WhatsApp Business Automation: What You Can Automate for Free

Most small businesses already have WhatsApp open all day, answering the same five questions by hand. The good news: a lot of that can run on its own without paying for software.
With the free WhatsApp Business app you can automate a greeting for new chats, an away message outside your hours, saved quick replies, a catalog of your services and a link or QR code that opens a chat. What you can’t do for free is build real chatbots, connect WhatsApp to your CRM or send at scale. That needs the WhatsApp Business Platform (the API), where Meta started charging for service replies again on 1 October 2026, with 1,000 free service messages per phone number each month.
At a glance
- Time: about 30 minutes to set up the free automations
- Cost: free (the app is free to download and use, with some paid extras)
- Difficulty: easy, all done inside the app
- You’ll get: instant replies to new enquiries, after-hours cover and faster answers to common questions
What can you automate on WhatsApp Business for free?
Five things, all inside the free WhatsApp Business app. None of them is a chatbot, but together they cover the moments where most leads go cold: the first message, the evening message and the “how much is it?” message.
| Free automation | What it does | Best use |
|---|---|---|
| Greeting message | Sends an automatic welcome to new customers | Confirm you got the message and ask one useful question |
| Away message | Replies automatically outside your business hours | Evenings, weekends, holidays, busy clinic days |
| Quick replies | Saved answers you send with a shortcut | Prices, address, opening hours, booking link |
| Catalog | A storefront of your products or services, grouped into collections | Let people browse before they ask |
| Short link and QR code | Opens a chat with you in one tap | Website, Instagram bio, flyers, reception desk |
WhatsApp’s own feature page also lists labels for sorting conversations. Labels aren’t automatic, but they turn your chat list into a simple lead tracker (new lead, quoted, booked, paid).
1. A greeting message that does more than say hello
The greeting fires when someone messages you for the first time. Most businesses waste it on “Thanks for contacting us!” Use it to ask the one question you always need answered, so the conversation is already moving when you pick it up.
Dental clinic · Greeting
Hi, thanks for messaging [Clinic name]. To help us reply faster, are you looking to book a check-up, an emergency appointment or something else? We reply within [time] during opening hours.
Home services · Greeting
Hi, thanks for getting in touch with [Business name]. Please send your postcode and a photo of the job if you can, and we’ll come back to you with a price or a visit time.
More examples for different industries are in our WhatsApp greeting messages guide.
2. An away message that still captures the lead
The away message replies outside the hours you set. Its job isn’t to apologise. It’s to tell the person exactly when you’ll reply and collect what you need, so the morning starts with a qualified list instead of a pile of “hi” messages.
Law firm · Away message
Thanks for your message. Our office is closed right now and we’ll reply from [time] on [next working day]. If you’d like, send a short summary of your matter and the best time to call you.
Estate agent · Away message
Thanks for your enquiry. I’m away from my phone and will reply by [time]. Which property are you asking about, and are you looking to view, buy or rent?
Step-by-step setup and 20 more examples are in our WhatsApp auto reply guide.
3. Quick replies for the questions you answer every day
Quick replies are saved messages you send by typing a shortcut, such as “/price” or “/hours”. They’re not automatic, but they cut a two-minute typed answer to two seconds and keep every reply consistent, even when a colleague is covering.
Start with the five questions you get most. For most small businesses that’s price, location, availability, how to book and how to pay.
Small agency · Quick reply /price
Our [service] packages start from [price]. The final price depends on [main factors]. If you share a bit about your business, I can send an exact quote today.
Any business · Quick reply /book
You can pick a time that suits you here: [booking link]. If none of those work, reply with two times and we’ll fit you in.
4. A catalog that answers “what do you offer?”
The catalog lets people browse your products or services, with prices, inside WhatsApp. For a service business that means fewer back-and-forth questions: a salon lists treatments, a cleaner lists packages, an agency lists its three main offers. Group items into collections so people find the right one fast.
Shortcut: pair the catalog with a quick reply (“/menu”) that sends a link to it, so you can share it in any chat in one tap.
5. A link and QR code that start the chat for them
Every extra step between “I’m interested” and “message sent” loses people. A WhatsApp link opens a chat with your number, and you can pre-fill the first message so you know where the lead came from (“Hi, I saw your ad about teeth whitening”).
You can make one in under a minute with our free WhatsApp Link Generator, then put it on your website, Instagram bio, email signature and printed materials. Our WhatsApp link guide covers where to place it.
How the free pieces work together
On their own, each feature saves a few minutes. Together they form a basic lead system that runs without you:
- Lead taps your WhatsApp link with a pre-filled message
- Greeting (or away message) replies instantly and asks one qualifying question
- You reply with quick replies and send the catalog
- You label the chat (new lead, quoted, booked)
- You follow up on anything still labelled “quoted”
What does WhatsApp Business automation cost when you outgrow the free app?
When you need chatbots, a shared team inbox, CRM connections or messages sent from your website automatically, you move to the WhatsApp Business Platform, usually through a software provider. Meta charges per delivered message, and the rules changed this autumn.
| Message type | When you can send it | Cost from Meta (as of November 2026) |
|---|---|---|
| Service (free-form replies) | Within 24 hours of the customer’s last message | First 1,000 per phone number per month free, then charged |
| Utility (order updates, reminders) | Any time, as an approved template | Charged, including inside the 24-hour window since 1 October 2026 |
| Marketing | Any time, as an approved template | Charged at a fixed rate by country |
| Any type after a click-to-WhatsApp ad reply | During a free entry point window of up to 7 days | Not charged |

Watch out: many guides still say customer-initiated conversations are free on the API. That was true from November 2024. Since 1 October 2026, Meta charges for service messages beyond the 1,000 free ones per number each month.
What most guides leave out
Most “free WhatsApp automation” articles are written by chatbot companies. They skip the free app and go straight to their paid plan, so readers assume they need software on day one. A dental clinic answering 30 enquiries a week almost certainly doesn’t.
Automation only buys you time to reply properly. A greeting that says “we’ll be in touch” doesn’t win the job. The person who replies with a real answer first usually does, which is why your away message should promise a specific time and then you keep it. We cover the numbers in our speed to lead guide.
The free app runs on one phone number and one account. Meta’s feature page lists linking up to 10 devices and agents as part of Meta Verified, not the basic app. If three people need to answer the same WhatsApp at once, that’s often the real reason to upgrade, not chatbots.
Your website is the bigger leak. Many businesses perfect their WhatsApp replies while their website contact form sends enquiries to an inbox nobody checks. Fix where leads arrive first, then automate the reply.
Our pick: start with the free app. Set up the greeting, away message, five quick replies and a WhatsApp link this week. Only move to the API when you need several people on one number, a chatbot that books appointments, or WhatsApp messages triggered by your website or CRM.
Frequently asked questions
Is WhatsApp Business automation free?
Basic automation is. The WhatsApp Business app is free to download and use, and its greeting messages, away messages, quick replies, catalog and short link cost nothing. Chatbots and integrations need the paid WhatsApp Business Platform.
Can I build a WhatsApp chatbot for free?
Not inside the free app. Some providers offer free tiers on the API, but Meta still charges per message for marketing and utility templates, and for service replies beyond 1,000 per phone number each month since October 2026.
Are WhatsApp API service messages still free?
Only partly. Meta made service messages free in November 2024 and resumed charging on 1 October 2026. Each business phone number gets 1,000 free service messages per month, and they don’t roll over.
Can I automate follow-ups in the WhatsApp Business app?
No. The app only automates the first reply and the out-of-hours reply. For follow-ups, use labels to track who needs one and send it with a quick reply, or move to a tool built on the API. Our automated lead follow-up guide shows a simple sequence.
What is a free entry point window?
If someone messages you from a click-to-WhatsApp ad and you reply, Meta opens a window of up to 7 days in which your marketing, utility, authentication and service messages to that person aren’t charged. It only applies on the API, not the free app.
